With over 7 000 members in and outside Europe, ESTRO supports all the Radiation Oncology professionals in their daily practice: Radiation Oncologists, Medical Physicists, Radiobiologists and RTTs (Radiation Therapists) and the wider oncology community.

ESTRO’s mission is to promote innovation, research, and dissemination of science through its congresses, special meetings, educational courses and publications.

Your mission

You are responsible for building scientific programs with the aim of promoting Society purpose, goals and objectives.

Main Responsibilities

Operational Management

  • Supervise the abstract management process (submission, review, selection, invitation of speakers and follow-up)

People Management

  • Supervise and lead the Programme Coordinator (indicate what needs to be done and provide him/her with necessary deadlines)
  • Be accountable for the smooth running of the Programme activities.
  • Anticipate impacts of workload/issues to team deadlines
  • Have a very positive work attitude
  • Translate ESTRO Strategy into team operational activities
  • Align with Senior Management decisions and support these towards his/her team

Core activities

  • Develop the Scientific Programme for ESTRO Annual conferences
  • Set overall timelines for the development of the scientific programme
  • Communicate regularly on the Scientific programme with the Congress Manager
  • Ensure that webcasts are recorded with due written consent of the speakers to meet legal requirements
  • Manage the number of invited speakers to ensure budget is not exceeded
  • Supervise the speaker follow-up procedures (communications with invited speakers, chairs, oral communication and poster presenters, …)
  • Maintain profound knowledge and understanding of oncology research and key speakers by attending relevant conferences and scientific workshops
  • Conduct evaluation of events, interpreting results and drawing conclusions for future implementation
  • Other duties as per defined scope
  • Participating to and/or leading transversal projects

  • At least 2 years of similar experience within a (healthcare) association or related environment;
  • Bachelor degree - A Master in Association Management is a plus as well as the former attendance of conferences/course such as those organized by ASAE, ESAE, AC Forum, Association World Congress;

Job objective

The communication manager is responsible of effective and high quality internal and external communication for all the Society’s events and activities and dissemination of content (scientific and institutional) produced by the Society’s bodies. He/she articulates the scientific content and contribution of the Society in clear messages in an engaging way.

Main Responsibilities

Core activities

  • Communicate effectively to ESTRO Members and external stakeholders by integrating communication strategies and tools into colleagues’ work: set deadlines for communication, define the audience, deploy the right tools;
  • Develop and execute communication and social media campaigns, including Society’s newsletters, press releases, printed materials, position papers, social media posts and management of the website, mass mailing systems, among others;
  • Be responsible for the dissemination of science through the ESTRO channels and the validation of messages, through expert input;
  • Translate scientific data into information for external stakeholders, in order to raise awareness on the Society’s Vision;
  • Develop and execute dedicated work plans for communications activities before, during and after events (annual congresses, workshops…);
  • Build strong relations and dialogue with the press and ensure high press participation and media coverage of our events;
  • Execute all communications requests as per support policy, from external partners of ESTRO;
  • Liaise with the designer to create visuals: create catchy infographics, design all printed materials, and produce videos;
  • Negotiate with providers contracts under his/her responsibility;
  • Work together with ESTRO committees, members and ESTRO stakeholders to promote Radiotherapy, and the Society’s our interests and values;

Education and professional experience

  • Master degree in communication, public relations, European affairs, political science or similar
  • Minimum 5 years of previous communications job experience, preferably in non-profit associations, EU affairs sectors, think tanks or academia; Having a deep understanding of the membership-based association world is mandatory.

Skills and competencies

  • Excellent command of English (as the working language within ESTRO).
  • Broad experience in communication, preferably in an association;
  • Excellent writing skills, and ability to summarize complex concepts;

Job objective

The Society Affairs and Policy Manager is responsible for the seamless running of the Society’s committees and working groups. S/he is in charge of ensuring smooth information flow between all SA bodies and strengthening their relationships. S/he acts as the representative of ESTRO at committees and harmonizes the information around ESTRO activities and projects. S/he supports the implementation of the Society’s strategy on Policy, with the objective to align mutual priorities with key internal and external stakeholders, where Radiotherapy’s added value should be taken into account

Main Responsibilities

People Management

Society Affairs

  • S/he facilitates the operations of the Committees and working group;
  • Ensure the coordination for the Committees: communication with members, organization of meetings, including meeting through teleconference, prepare the agendas, oversee travel arrangements organization, write minutes, keep track and follow-up on activities;
  • Manage the committees/working groups budget;
  • Act as communication bridge between Committees and ESTRO office and relevant stakeholders;
  • Ensure follow up on action points and interaction between projects;
  • Develop and maintain standard operating procedures and meeting templates for committee management;
  • Define, track and generate metrics for committees to analyze effectiveness and impact.

Policy

  • Collect and share insights and content generated by the Committees and other bodies of the Society to support the development of value propositions addressing policy makers, patient association’s and other oncology stakeholder’s needs;
  • Contribute to enhancing ESTRO’s participation in relevant networks and oncopolicy and EU fora and funding opportunities;
  • Attend and support the work of the Policy & Partnerships Council;
  • Other duties as per defined scope;
  • Participating to and/or leading transversal projects.

Education and professional experience

  • Master degree preferably in political sciences, external relations, public affairs;
  • Min 5 years’ experience within an Association (preferably scientific, medical, oncology-related).

Job objective

The Chief Operating Officer is responsible for maximizing the value for the ESTRO members and stakeholders by planning the use of the resources of the Society with the most efficient and productive approach. The COO therefore directs the operational activities of the organization in order to meet the efficiency and productivity objectives set by the strategy of ESTRO and secures sustainable growth by sourcing and managing project members as appropriate.

Main Responsibilities

Strategy

  • Advise the CEO about Events, Marketing & Business Development, Finance, IT strategic decisions in order to guarantee the organization’s long-term strategy;
  • Draw up business plans for operational matters in order to achieve the strategic objectives;
  • Help to develop the operating strategies to attain the goals defined by ESTRO governance

People Management

  • Be accountable for the smooth running of ESTRO internal operative flow;
  • Provide for all staff a strong day-to-day leadership presence;
  • Developing KPIs for the evaluation of the staff in the relevant Unit;
  • Be an ESTRO values role model for his/her direct reports and, beyond, and ensure ESTRO values are lived by them;
  • Supervise, develop and lead his/her direct reports (provide them with team, project and individual objectives and support them in their personal and professional development).

Core activities

  • Monitor the execution of ESTRO’s plans at Unit level;
  • Design and implement a productive and efficient plan for the use of the resources of the Society and a process to ensure that ESTRO projects are run effectively;
  • Maintain and develop a coherent methodology for planning the resources to create the maximum value for the stakeholders of the Society;
  • Mold the Events, Marketing & Business Development, Finance and IT teams to their best capability to implement the appropriate portions of the ESTRO strategy;
  • In close collaboration with the CEO, define which projects the organization can/should pursue based on financial reports and Society growth, making more effective decisions regarding the operations of different Units;
  • Ensure that all activities operate consistently within the mission and values of ESTRO;
  • Collaborate with the Leadership and Senior Management Team to improve procedures and operational services, and to implement a necessary system of policies;
  • Oversee risk management, regulatory oversight, and legal activities (letters of agreement, contracts, leases, and other legal documents, business insurance and agreements);
  • Provide timely, accurate, and complete reports on the operating condition of the organization;
  • Foster a success-oriented, accountable environment within the Society;
  • Supervise the integration of the new CRM system and ensure the coordination between all units;
  • Oversee the development of new products/members packages;
  • Develop and measure key performance metrics, including members satisfaction rates;
  • Establish a culture of data-driven decision making to elaborate new or strengthen/develop existing revenue streams;

Education and professional experience

  • Master Degree in Management or other relevant disciplines.An MBA is highly desired.
  • Minimum 10 years of Senior-leadership experience supervising a rapidly growing staff, operating multiple projects, combined with min 5 years of Management experience in an international environment. An experience in a comparable role within a European non-profit organization is a plus.
